VProofing & Home Improvements builds roofing, patios, carports and sheds across North Queensland - a cyclonic wind region where every quote carries real structural responsibility. We built an automated quoting pipeline that takes a digital site measure as its input and produces a complete, certified-engineered Bill of Quantities and Scope of Works as its output. Site measure in, engineered quote out, ready to review in seconds.

The Problem
VProofing & Home Improvements specialises in roofing, patios, carports and sheds across North Queensland - a cyclonic wind region where every job carries real structural responsibility.
Quoting a patio wasn't just filling in a form. It meant taking a site measure on paper, uploading photos, manually working structural calculations against engineering tables, feeding everything into a quoting spreadsheet built up over years, then copying it all into MYOB to produce a quote. A separate Scope of Works had to be drafted and adjusted for every job.
Every quote meant hours of skilled time on work that - while rigorous - followed a repeatable set of rules. The bottleneck wasn't expertise. It was doing the same expert process from scratch, manually, every single time.
The Solution
We built a fully automated quoting pipeline that takes a digital site measure as its input and produces a complete Bill of Quantities and Scope of Works as its output - with certified structural engineering handled automatically in between.
The estimator's role shifts from building the quote to reviewing it. Every calculation is done for them, every document is assembled for them, and every job follows the same certified engineering process regardless of who's on site.
What happens automatically
Estimator submits a digital site measure in Base44
n8n runs the structural engineering from certified tables
Claude reviews the site photos and flags mismatches
BOQ and Scope of Works generate on approval
Estimator reviews, edits per job, and downloads
How It Works
The estimator fills in a digital site measure in Base44
On site, they capture dimensions, fixing type, wind exposure, enclosure, gutter type, post connections and photos. Paper forms are gone entirely.
n8n runs the structural engineering automatically
The moment the form is submitted, panel thickness, beam sizing, post uplift, footing depths and concrete volumes are all calculated from certified Nordeck cyclonic wind tables - the same process an engineer would work through by hand, completed in under a second.
Claude reviews the site photos for issues
The AI flags anything that doesn't match the measurements - pool locations, powerlines, access constraints, post-count mismatches. It doesn't change the engineering; it highlights things for the estimator to consider before approving.
The owner reviews and approves the engineering
In Base44, the owner checks every calculation, adjusts any values if needed, and approves. Every edit is tracked with a timestamp and a full audit trail.
BOQ and Scope of Works generate on approval
The Bill of Quantities builds every line item with calculated quantities - concrete volumes, post lengths, flashing, screws, labour days, brackets, rivets - with rates pulled automatically from the owner's price list in Airtable. The Scope of Works assembles in VProofing's exact template wording, with the right inclusions and exclusions for that job.
The estimator reviews, edits and downloads
Final documents download straight from Base44. Rates are managed by the owner in Airtable - pricing updates take under a minute and every future quote picks them up automatically, with no developer involvement.
Key Design Decisions
Certified engineering tables, not guesswork
All sizing and footing calculations run off certified Nordeck cyclonic wind tables, so every quote follows the same rigorous structural process the region demands.
AI assists, it doesn't decide
Claude reviews site photos and flags mismatches for a human to consider - it never alters the engineering. The estimator stays in control of every approval.
The owner manages pricing, not a developer
Rates live in Airtable. A price update takes under a minute and flows into every future quote automatically - no code changes, no waiting on a developer.
A full audit trail on every calculation
Every edit to the engineering is tracked with a timestamp and the changed values, so there's a clear record behind each quote - important when structural accuracy isn't optional.
Under the Hood
A submitted Base44 site measure triggers the engineering run - panel, beam, post and footing calculations against certified wind tables, with Claude reviewing the site photos in parallel. On the owner's approval, the Bill of Quantities and Scope of Works generate from rates held in Airtable.

The Results
Before
Structural calculations worked by hand
engineering tables cross-checked manually each job
Hours of skilled time per quote
a repeatable process rebuilt from scratch every time
Scope of Works drafted by hand
re-written and adjusted for every single job
Pricing updates needed a developer
and no audit trail on the calculations
After
Full engineering calculated automatically
from certified cyclonic wind tables, in under a second
Seconds from form to engineered draft
the estimator reviews instead of building from scratch
BOQ and SOW assembled automatically
46+ priced line items, in VProofing's exact wording
Owner manages rates independently
with every edit tracked by timestamp and value

The Impact
Every patio quote now runs through the same certified engineering process - no shortcuts, no guesswork, consistent output regardless of who's on site. The system enforces rigour on every job automatically, and the estimator focuses on reviewing and approving rather than building from scratch. For a building company operating in a cyclonic wind region where structural accuracy isn't optional, that consistency matters as much as the time saved.
